Sales & Marketing. How leads are generated and converted into paying clients — marketing spend & channels, the discovery-call funnel, conversions, sales velocity and the operational watchlist (from Close CRM + ClickUp Marketing Spend). Your day-to-day commercial cockpit, and where every new pound of MRR originates.
Marketing. Website traffic & acquisition from Google Analytics 4 — visitors, where they come from, the campaigns and pages that pull them in. The top of the journey funnel that feeds the leads on the Sales & Marketing tab.
Group / Overall. The picture across the whole group — parent CX Assist plus Clinic Assist (and the new Care Assist). Illustrative for now: those entities' books aren't accessible in Xero, so only the Clinic Assist row is real.
| Entity | Revenue (TTM) | Net profit | Data |
|---|---|---|---|
| Clinic Assist (Balance VA Ltd) | — | — | real (Xero) — filled live |
| CX Assist (parent) | — | — | no access — illustrative |
| Care Assist (new) | ~£0 (expenses only) | (small loss) | no access — illustrative |
| Less: inter-company items | (eliminated) | — | inter-company loan |
Overview. The single top-level view of the whole business — the customer journey end to end (visitors → leads → won deals → live → retained) plus the headline numbers (MRR, ARR, retention, churn). A 30-second pulse-check that stitches every tool into one funnel, so you see where the business is winning or leaking at a glance.
Operations / Delivery. What happens after a deal closes — getting each client onboarded and live, and how the delivery team is performing (onboarding speed, SLA adherence, workload, in-flight onboardings). This is where retention is won or lost in the first weeks, and where a slow onboarding silently delays revenue.
Client Health / Retention. Whether existing clients are healthy and staying — risk flags (green / amber / red), weekly-review cadence, and cohort retention / net revenue retention. The early-warning system for churn: an at-risk flag here is a leading indicator of the lagging churn number on the Sales & Marketing and Fundraising tabs.
Finance. The profitability picture from Xero — gross/net margin, revenue by service, fully-loaded CAC and recognised revenue. Answers the question Close and the local billing workbook can't: "are we actually making money, and on which services?"
Operational Snapshot. Headline client counts at a glance. Delivery activity, onboarding and risk signals live in the Operations / Delivery and Client Health tabs.
System Health. Integration status from the most recent data refresh, plus the age of the data and the latest refresh attempt. Admin-only.
One SDR (Abigail) works every lead. Two funnels lead to a closed deal: she closes most herself; for the rest a senior fronts the call while she runs the back-end.
Colour key: ■ SDR (Abigail) ■ Senior (Kate / Oliver / Paul) ■ Won / live
Every lead that comes in is worked by Abigail (the SDR), and her default job is to close it herself on the Growth plan, running the deal end-to-end through our Close pipeline. When a prospect has a question or requirement she can't resolve on the call, the deal moves into a second track: she manually books a deeper call on her own calendar with the right senior — Kate, Oliver or Paul — who leads the conversation and vets the commercials / contract. Even then, Abigail keeps doing all the back-end: she moves the deal through Close, sends the (senior-vetted) contract, and does the follow-ups. So on the second track the senior is the face of the deal, but the SDR runs the engine behind it.

| Step | Front (Senior) | Back-end (Abigail / SDR) |
|---|---|---|
| Booking the call | — | Books it on her own calendar; the senior joins |

| Contract | Vets the commercials / contract | Sends the vetted contract (Close / Better Proposals) |
| Pipeline & follow-up | — | Moves every stage in Close; does all follow-ups |

Clinic Assist provides AI-powered call answering + human escalation for private healthcare clinics in the UK, so clinics never miss a patient call. Plans start at £295/month, with higher tiers for larger clinics.
We run everything in Close CRM. Leads carry a status (New → Prospecting → Customer, plus Nurture / Not a Fit / Do Not Contact); deals move through a pipeline to Live, paying client. We capture contact & clinic info, lead source + UTM, and the plan once they sign. Booking confirmations and reminder texts are automated.
| Plan | £/mo | In short |
|---|---|---|
| Growth (entry) | 295 | AI reception + human escalation; everyone starts here |
| Scale | 650 | + proactive follow-up, peak-time human coverage, white-glove onboarding |
| Thrive | 1,200 | + recall follow-up, human-first priority, done-for-you setup |
| Enterprise | 2,000 | Bespoke — full coverage, dedicated team, custom build |
(One-off £250 onboarding fee on all plans. Annual billing = 5% off.)
Clinic Assist is an AI-powered call-answering service (with human escalation) built for private healthcare clinics in the UK. Clinics lose patients and revenue every time a call goes unanswered — at lunch, after hours, or when reception is with a patient. Our AI answers every call, handles booking and common questions, and hands off to a human when a call needs one — so no patient is missed and the front desk is freed up.
We're a subscription service: plans start at £295/month and scale up as a clinic's needs grow. Because revenue is recurring, a client is worth far more than a one-off sale — which shapes how we sell (land first, grow later).
| Stage | What happens | Owned by |
|---|---|---|
| Lead in | A new clinic enters our CRM from any channel. Tagged with its source. | Marketing / vendors |
| Contact & qualify | We reach out, confirm fit, and work the lead toward booking a call. | Sales rep (SDR) |
| Call booked | Prospect books a 15-minute phone call. Reminders go out automatically. | Automated |
| The call | The rep runs a short call and asks for the business on the entry plan. | Sales rep (SDR) |
| Onboarded | Contract signed + onboarding fee paid → a live, paying client. | Sales + onboarding |
| Expansion | ~2 weeks in, a senior reviews usage and moves them to the right plan. | Senior team |
Our main channels are paid social (Meta ads), outreach lists, referrals, and website / organic. Every lead is tagged with a source (and UTM tags for digital) so we can see which channels actually produce clients, not just form-fills.
Everything runs in Close CRM.
| Plan | £/mo | What it includes |
|---|---|---|
| Growth (entry) | 295 | AI reception + human escalation, 1 email inbox, 1 monitoring channel, assisted onboarding, enhanced reporting, same-day email support. Everyone starts here. |
| Scale | 650 | Everything in Growth + lead follow-up (nurture), peak-time human coverage, white-glove onboarding, single-user dialer, monthly performance calls. |
| Thrive | 1,200 | Everything in Scale + recall follow-up, human-first priority, in-clinic dialer, done-for-you AI setup, <1h Slack response. |
| Enterprise | 2,000 | Bespoke — complete suite, all channels, 24hr human coverage, dedicated team, full analytics, custom AI build. |
(One-off £250 onboarding fee on all plans. Annual billing = 5% off.)
Every prospect enters by booking an SDR call, then takes one of two routes — both ending at a won deal.
The offer: the SDR sells Growth — £295/mo + £250 onboarding. "Everyone starts here"; a senior review ~2 weeks after onboarding upgrades them later.
Part 1 (default): SDR closes on the call. Part 2 (exception): a senior leads a deeper call when there's a blocker — Technical → Paul · Multi-site → Oliver · Enterprise → Oliver + Paul · Complex/outbound → Kate. The SDR still runs the back-end either way.
This is one pipeline with two routes to a closed deal. Every prospect enters the same way — by booking an SDR call — and then either:
Both paths run through the same stages and finish at OBF Paid – Onboarding (deal won), after which the client moves into the Onboarding pipeline.
The SDR sells one thing: the Growth plan — £295/month + a one-off £250 onboarding fee (the £250 is the same on every plan). Principle: "everyone starts here" — land the client on Growth, then a senior review ~2 weeks after onboarding moves them to the right tier. The SDR does not size the deal, ask about call volumes, or quote bigger plans on the first call.
| Plan | £/mo | Role in the funnel |
|---|---|---|
| Growth | 295 | The entry tier the SDR closes. Everyone starts here. |
| Scale | 650 | Expansion tier (via the senior review) |
| Thrive | 1,200 | Expansion tier (via the senior review) |
| Enterprise | 2,000 | Senior-led / bespoke |
Who: the SDR. Goal: close on Growth on the 15-minute call — this should be most deals.
| Step | Stage in Close | What's happening |
|---|---|---|
| 1 | SDR Call Booked | Prospect books via Calendly; confirmation + reminder SMS auto-sent. |
| 2 | (the call) | SDR runs the call and asks for the business — skips the disco stages. |
| 3 | Contract Sent | SDR sends the contract / proposal (Close or Better Proposals). |
| 4 | Contract Signed | Signed by both parties. |
| 5 | OBF Paid – Onboarding ✓ | Onboarding fee paid → deal won → moves to Onboarding. |
Who leads: a senior (Kate, Oliver, or Paul) leads the conversation. Who runs the back-end: the SDR — she books the call (on her own calendar; the senior joins), marks every stage in Close, and does the follow-ups. When: only when the prospect has a question — before they'll proceed — that the SDR genuinely can't answer or deflect. The default move is to deflect, not escalate: "Yes, we can absolutely do that — let's get you onboarded first, and our team will arrange the detail."
| If the blocker is… | Book with… |
|---|---|
| Technical — how it works / what the AI can do (and it's truly blocking the sale) | Paul |
| Multi-site — more than 2 locations, with questions blocking them | Oliver |
| Enterprise / very large | Oliver + Paul |
| Complex requirements or outbound services | Kate |
| Service questions the SDR can't answer | Kate |
All outbound services must start with the base inbound service first — when we call patients, they call back, so everyone needs the inbound setup underneath.
| Stage | What happens | Fields set |
|---|---|---|
| Contract Sent | Contract / proposal sent from Close or Better Proposals. | Proposal Sent Date |
| Contract Signed | Signed by both parties (client + Clinic Assist). | Proposal Signed Date |
| OBF Paid – Onboarding ✓ | £250 onboarding fee paid → won → client moves to Onboarding; senior review ~2 weeks later. | OBF Paid Date, Package |
Did the deal pass through Disco Booked / Disco Attended? No → SDR self-closed (Part 1). Yes → a senior led it (Part 2). Because the SDR marks the stages on every deal, this is automatic — no extra tracking needed.
| # | Stage | Type | Used in |
|---|---|---|---|
| 1 | SDR Call Booked | active | Both (entry) |
| 2 | Disco Booked | active | Part 2 (escalation) |
| 3 | No Show | active | Either (missed call) |
| 4 | Disco Attended | active | Part 2 |
| 5 | Qualified | active | Part 2 |

Then the Onboarding pipeline: Onboarding in Progress → Live Client – Paying (won) → Given Notice → Churned (lost).
New (just arrived) · Prospecting (being worked) · Customer (converted) · Nurture (not now) · Not a Fit · Do Not Contact (opt-out) · Churned (former client).
Sales: SDR Call Booked → Disco Booked → No Show → Disco Attended → Qualified → Negotiation → Contract Sent → Contract Signed → OBF Paid – Onboarding (won); lost = Unqualified / Lost.
Onboarding: Onboarding in Progress → Live Client – Paying (won) → Given Notice → Churned (lost).
Lead: website, company, clinic type, locations, lead source + UTM, SMS reminder toggles, ClickUp link, and more. Contact: decision-maker?, seniority, certifications, LinkedIn. Opportunity: package, add-ons, disco booked/attended?, proposal & onboarding-fee dates, lost/churn reason, go-live date.
Call/meeting outcomes cover phone calls and virtual meets (disco booked, voicemail, not interested, do-not-contact, disqualified, deal closed, etc.). Automations: instant + 48/24/1-hr reminder texts, auto-marking of disco fields, and a lead-resurfaced counter.
A label on the lead describing our relationship with them. It does not flow in a fixed order — a lead can move between most of these in any direction.

Sell: Growth, £295/mo + £250 onboarding. Nothing else. Goal: land them; a senior review upgrades them ~2 weeks later.
Never: ask call volumes, quote bigger plans, or guess at technical answers. Close line: "We can get you onboarded at £295 a month with a £250 onboarding fee. Then, about two weeks in, a review call gets you onto the right account for your needs."
Stuck on a real blocker? Deflect first; if it's truly blocking, book a senior — Technical → Paul · Multi-site → Oliver · Enterprise → Oliver + Paul · Complex/outbound → Kate.
Get every clinic that's ready, started on the Growth plan. We "land and expand" — onboard at low cost, then a senior review ~2 weeks later moves them to the right plan. You don't need to sell the biggest package or win every debate — just land them. The senior team is your back-up, not your default.
The Growth plan — £295/month + £250 one-off onboarding fee. That's it. Scale / Thrive / Enterprise are where a senior upgrades clients later, at the 2-week review.
"We can get you onboarded at £295 a month with a £250 onboarding fee. Then, about two weeks in, a review call gets you onto the right account for your needs."
That 2-week line does two jobs: it reassures them they won't be stuck on the wrong plan, and it keeps you out of having to size the deal.
Default to "yes, we can — let's get you started first." You don't need to win a debate; just remove the blocker to getting started.
| They say… | You might respond… |
|---|---|
| "It's a bit expensive." | "That's exactly why everyone starts on Growth at £295 — you get going at low cost, and the 2-week review fits the right plan to you." |
| "I need to think about it." | "Totally fair — there's no big commitment to get started, and the 2-week review is where we fine-tune. What's the one thing you'd want to be sure of?" |
| "We already have a receptionist." | "Perfect — this works alongside them, catching the calls they can't get to so nothing slips, especially at peak times." |
| "Will it work with our system / sound robotic?" | "Yes, we work with clinics on integrations all the time. Let's get you onboarded and our team handles the detail — I can set up a quick call with our tech lead if useful." |
| "Just email me the info." | "Happy to — and the fastest way to see it is to get started; the 2-week review means there's no risk of being on the wrong plan. Shall we get going?" |
(Cribsheet to be finalised with the sales manual.)
Only when the prospect has a question — before they'll proceed — you can't answer or deflect. The senior is the "downsell": used only if you can't get them onto the platform without a deeper conversation.

| Multi-site (>2 locations) | Oliver |
| Enterprise / very large | Oliver + Paul |

Book it on your own calendar; the senior joins. You still own the deal — mark each stage in Close and do the follow-ups; the senior just leads the call. (Outbound services always start with the base inbound service first.)

Sell: Growth, £295 + £250. Goal: land them; senior review upgrades later. Never: ask call volumes, quote bigger plans, guess technical answers. Blocker? Deflect first; if blocking, book a senior. Always: keep the Close stage updated.
